2. General Information on Data Processing

When you visit this website, server log files are generated. Beyond that, personal data is only processed if you contact us, actively load the booking calendar or take part in our online meetups (see section 7). We ourselves do not use cookies or tracking tools.

3. Hosting and Server Log Files

This website is hosted by an external hosting provider. When you visit this website, information is automatically recorded in server log files that your browser transmits. This includes: browser type and version, operating system, referrer URL, hostname of the accessing computer, time of the server request and IP address.

Storage is based on Art. 6(1)(f) GDPR. Our legitimate interest lies in ensuring the error-free operation of the website.

4. Contact by Email or Phone

If you contact us by email or phone, your information (name, email address or phone number, content of inquiry) will be stored for processing the inquiry and in case of follow-up questions. Legal basis is Art. 6(1)(b) GDPR (pre-contractual measures) or Art. 6(1)(f) GDPR (legitimate interest). We will not share this data with third parties without your consent.

5. Booking via Google Calendar

To arrange an intro call, we embed Google Calendar appointment booking on the contact page. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

The booking interface is only loaded when you click “Load booking calendar” or open the booking page in a new tab. From that moment on, your IP address and technical browser data are transmitted to Google; Google may set its own cookies in the process. If you book an appointment, the data you enter (name, email address, and your message where applicable) is additionally processed and stored in our Google Calendar.

Data may be transferred to the USA in this context. Google is certified under the EU-U.S. Data Privacy Framework. Legal basis is your consent given by actively loading the booking interface (Art. 6(1)(a) GDPR) and Art. 6(1)(b) GDPR for arranging the appointment. You can always reach us by email or phone instead.

This website contains links to external services, such as LinkedIn profiles, partners and providers of solutions we use. These are plain links: data is only transmitted once you click a link. The operators of the linked sites are responsible for data processing there.

7. AI Transformation Camp – Online Meetups

This section applies to the online meetup series of the AI Transformation Camp organised by orgaloom GmbH on meetup.com, where recording and AI-assisted follow-up are announced in the event description. The operator of meetup.com is responsible for your profile, your registration and your use of meetup.com itself; its privacy policy applies.

Data Protection and Right of Withdrawal

The meetups take place on Zoom and are automatically recorded to the Zoom cloud. Each time you join, Zoom asks for your consent to the recording. By giving it, you consent to the recording, the transcription and the AI-assisted follow-up with Zoom AI Companion as described below.

Recordings, excerpts, quotes or summaries are only used publicly, for example to provide information about the AI Transformation Camp or for marketing, with your separate approval of the specific contributions and the channels in which they appear. Declining this approval has no effect on your participation.

You can withdraw your consent at any time with effect for the future, informally by email to info@orgaloom.com. This does not affect the lawfulness of processing carried out before the withdrawal (Art. 7(3) GDPR).

Controller

orgaloom GmbH is the controller for the recording, transcription and follow-up (contact details in section 1).

Recording and AI-Assisted Follow-Up

  • Recording: The talk and the discussion are automatically recorded to the Zoom cloud. As participants can join before the host, recording may start before anyone from orgaloom is in the meeting.
  • Transcription: A transcript of the meeting is created.
  • Follow-up with Zoom AI Companion: We use Zoom AI Companion to create summaries and follow-up content from the meeting. Zoom uses its own AI models and models from sub-processors for this (according to Zoom, e.g. Anthropic and OpenAI). According to Zoom, audio, video, chat and other communications content is not used to train AI models.

Data Processed

  • Display name and, if you join with a Zoom account, associated profile information
  • Video and audio, if your camera or microphone is switched on, and shared screen content
  • Contributions and chat messages in the meeting and their transcript
  • AI-generated summaries and analyses of the meeting
  • Meeting metadata such as join and leave times, IP address, device and connection data
  • Running the meetup on Zoom (meeting metadata, video, audio, chat): Art. 6(1)(f) GDPR. Our legitimate interest is running an online event.
  • Recording, transcription and AI-assisted follow-up, so that content and results can be captured and prepared for participants: your consent when joining (Art. 6(1)(a) GDPR).
  • Public use of individual contributions for information or marketing: your separate consent for the specific contributions and channels (Art. 6(1)(a) GDPR).

Recipients

  • Zoom Communications, Inc., 55 Almaden Blvd, Suite 600, San Jose, CA 95113, USA, as processor, on the basis of Zoom’s Data Processing Addendum, which forms part of Zoom’s terms of service. Zoom in turn uses sub-processors, including providers of AI models for AI Companion; Zoom publishes the current list at zoom.com/en/trust/subprocessors.
  • The public or users of the respective channels, only where you have separately approved public use.

Transfers to Third Countries

Zoom and its sub-processors may process data in the USA and other third countries. Zoom is certified under the EU-U.S. Data Privacy Framework (adequacy decision, Art. 45 GDPR). In addition, Zoom’s Data Processing Addendum includes the European Commission’s Standard Contractual Clauses (Art. 46(2)(c) GDPR). Further information can be found in Zoom’s privacy statement.

Retention

  • Cloud recordings are automatically moved to the trash after 30 days.
  • Meeting transcripts are deleted after 30 days.
  • These automatic periods do not apply to downloaded exports, AI summaries and published contributions. We keep them only as long as necessary for the respective purpose and delete or remove your contributions after a withdrawal of consent, as far as this is within our control.

Your Rights

You have the rights listed in section 8, in particular the rights of access, rectification, erasure, restriction of processing, data portability and objection, the right to withdraw your consent and the right to lodge a complaint with a supervisory authority.

You have the following rights regarding your personal data:

  • Right to erasure (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)

  • Right to withdraw consent at any time with effect for the future (Art. 7(3) GDPR)

You also have the right to lodge a complaint with a supervisory authority. The authority responsible for us is the Bavarian State Office for Data Protection Supervision (BayLDA), Promenade 18, 91522 Ansbach, Germany.
